The year at a glance

Five events, ten months

Month 1 is the month you accept the invite. You run one event every 2 months and send one report after it. Each phase ends with a "done when" check.

Step by step

Your timeline

The grey tag on a task names the person who does it. "You" means the chapter lead.

Phase 1 · StartMonth 1

Get on board and build your team

You become the lead of your chapter, set up the page and pick your people.

  • Open the invite email from FixtureLabs. Accept it within 7 days, or it expires. You
  • Sign in with the same email address that got the invite. A different address does not work. You
  • Join the orientation call. We show the chapter tools and answer your questions. You
  • Solve 10 practice problems on app.fixturelabs.io, with at least one CAD and one DFM problem. Then you can demo both. You
  • Open your chapter page and click Manage. Add the logo, a cover photo, a 3–4 line About text and your social links. You
  • Meet one faculty member. Ask for a room for events and for help to reach students. You
  • Pick 6 or more students for the roles in "Your core team". Pick people who show up, not only people with high marks. You
  • Each team member signs in and joins the chapter. Add each one to the team with a title and a 2-line bio. You
Done when: the chapter page is complete and 7 or more people show in the team.
Phase 2 · LaunchMonth 2

Event 1 · Launch talk

Tell your college what the chapter is and why FixtureLabs helps with design jobs. Get students to join in the room.

  • Post a Talk event on the chapter page 7 days before. Add the About text and the speakers. Events Lead
  • Make a poster and 3 social posts. Use the chapter logo. Graphics Lead
  • Share the event link in class groups and clubs. Ask students to RSVP. Outreach Lead
  • At the talk, solve one problem live on screen. CAD Lead
  • Keep the last 10 minutes for everyone to sign in and join the chapter. You
  • Upload photos within 48 hours. Send report 1. Content Lead
Done when: Event 1 has photos and the chapter has 25 members. You reach Starter.
Phase 3 · GrowMonths 3–6

Event 2 · Campus contest 1 and Event 3 · CAD sprint

A contest gives students a reason to practise. A hands-on event after it keeps them.

  • Month 4: tell FixtureLabs your contest date 2 weeks before. We help you pick the questions. You
  • Make the contest on app.fixturelabs.io. Put the contest link in the chapter event. Only people with the link can join. You
  • Run the contest in a room on campus. Keep one team member free to help with problems. Events Lead
  • Share the top 3 on social pages. Tag the winners and FixtureLabs. Content Lead
  • Send report 2 with the FixtureLabs accounts of the top 3. We give each of them 6 months of Premium. You
  • Between events: give a 10-minute talk at 2 clubs or teams (SAE, ASME, robotics). Outreach Lead
  • Month 6: run a CAD sprint, a Teardown or a Build. Pick one from the event menu. CAD Lead
  • Send report 3. Bring your numbers and your plan for the second half to the check-in call. You
Done when: 3 events, 1 contest with 30 or more players and 75 members. You reach Builder.
Phase 4 · LeadMonths 7–8

Event 4 · Flagship contest

Your biggest event of the year. Bring in other colleges.

  • Invite 1–2 nearby colleges with the contest link. Outreach Lead
  • Ask faculty to announce the contest in class and to give a department certificate to the top 3. You
  • Start the posts 2 weeks before. Post the countdown, the rules and the winners. Graphics Lead
  • Pick 1–2 students who can lead next year. Let them run part of this event while you help. You
  • Send report 4 with the FixtureLabs accounts of the top 3, for their 6 months of Premium. You
Done when: 2 contests done and a next lead picked.
Phase 5 · Hand overMonths 9–10

Event 5 · Talk and thank-you

Finish strong, and make sure the chapter lives on after you.

  • Run a Talk with a guest from industry, or a senior who got a design job. End with a thank-you for the team and the members. Events Lead
  • Update each team bio with what that person did this year. You
  • Send the year report. Tell FixtureLabs the name and email address of the next lead. You
  • Hand the next lead your contacts: faculty, clubs and room bookings. You
Done when: 5 events, 2 contests, 150 members and the next lead named. You reach Champion.
Your core team

Seven roles, at least seven people

Fill every role with a different person. Use these titles on the chapter page. If more students want to help, add them as Events or Outreach members, or fill an optional role below.

Chapter Lead · you

Owns the plan, the chapter page and the reports. Talks to faculty and to FixtureLabs.

Co-Lead

Runs the weekly team meeting, steps in when the lead is away, and is the first choice for next year's lead.

Events Lead

Books rooms, posts each event on the chapter page 7 days before, and runs the day.

CAD Lead · design engineering

The strongest modeller in the team. Builds clean, correct parts and assemblies, picks the problems, runs CAD sprints and Teardowns, and helps students who get stuck.

Content Lead

Writes the posts and event recaps, takes photos, and uploads them within 48 hours.

Graphics Lead

Makes posters, social graphics and slides. Keeps the chapter look the same on every post.

Outreach Lead

Visits clubs and other colleges, finds speakers, and brings new members.

Optional roles

Add these when you have a strong student for them. They do not count toward the 7.

Simulation Lead optional

Checks designs with FEA and flow studies. Runs a session on stress, loads and why parts fail.

Prototyping Lead optional

Turns models into real parts with 3D printing or the college workshop. Brings printed parts to Build and Teardown events.

Every event

The same six steps

7 days beforePost the event on the chapter page with an About text and speakers.
5 days beforeShare the event link in groups. Share the link, not a screenshot.
1 day beforeCheck the room, the projector and the Wi-Fi. Remind people who RSVP'd.
On the dayStart on time. Keep 10 minutes for sign-ups. Take photos.
2 days afterUpload photos to the event. Post a recap and tag FixtureLabs.
In the reportWrite the RSVP count, the number who came and the new members.
Report

One report every 2 months

Send it within one week after each event. It takes 10 minutes. We use it to check your level and to find where you need help. After each report we have a 20-minute check-in call.

Send the report by email to your FixtureLabs contact. Use the 8 lines on the right.

Questions

FAQ

The role

Is this a paid role?

There is no salary. You get FixtureLabs Premium, the level rewards and the chance of an internship, all listed above. Events are free, and you do not pay for anything yourself.

Do I need to be good at CAD to lead?

No. You need to organise people and show up. Your CAD Lead handles the technical part of each event. You still solve 10 problems in Month 1, so you can show the platform with confidence.

Can two of us lead the chapter together?

The chapter page has one lead for each term. Make the second person your Co-Lead. They run the team when you are away and are the first choice for next year.

Can I put this on my CV and LinkedIn?

Yes. Use the title "Campus Ambassador, FixtureLabs" and your chapter page link. The page shows your team, your events and the photos, so a recruiter can check it.

Can I lead for a second year?

Yes, if you reach Builder or Champion and you want to. Tell us in the year report. Most chapters do better when the Co-Lead takes over and you mentor them.

The chapter page

I can not see the Manage button.

Sign in with the email address that got the invite. Only the lead of the active term sees Manage. If the address is wrong, write to us and we send a new invite.

Can I change the chapter name, the address or the college?

No. These stay fixed so that links shared earlier keep working. Write to us if one of them is wrong and we change it.

A team member stops doing any work.

Talk to them first. If nothing changes in 2 weeks, remove them from the team in Manage and add someone new. Keep 7 or more people on the team.

Can students from other colleges join my chapter?

Yes, any signed-in student can join. For your goals, we count everyone who joins. Contests are open to anyone with the link, so invite nearby colleges to Event 4.

Events

What if exams fall in an event month?

Tell us at the last check-in before it. Move the event one month earlier or later. Do not skip it: the next event then comes 2 months after the moved one.

Can events be online?

Yes, but run at least 3 of the 5 on campus. Students join a chapter much more often in the room than in a video call.

Who pays for the room, snacks and prizes?

Ask your department for a room first; most give one for free. Prizes are FixtureLabs Premium, which we give. For snacks, tell us in your report what you need before the event.

Only a few students came to my event.

Look at the RSVP list against the people who came. If many RSVP'd but few came, send a reminder 1 day before. If few RSVP'd, share the link earlier and in more groups, and ask a faculty member to announce it in class.

Can we run an event with another club, like SAE or ASME?

Yes, and we suggest it. Post it on your chapter page and name the other club in the About text. A joint event brings their members to your chapter.

Levels and the end of the year

What if I do not reach a level on time?

Nothing is lost. We look at your numbers in the next check-in and plan the next event with you. If no event happens for 4 months, we talk about a new lead for the chapter.

What happens at the end of the year?

We end your term and start a new one for the next lead. The chapter page then shows the new team. The level you reached stays yours.

How do I pick the next lead?

Pick the person who did the most work, not the one with the best marks. Let them run part of Event 4 while you help. Then tell us their name and email address in the year report.
